Note: The Terms & Conditions in this document are supplementary to all other terms & conditions which are set out in your contractual agreements with Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd for ITB India 2020.

1. Event and Organizer

ITB India is organized by Indo-German Chamber of Commerce ("IGCC"), at Bombay Exhibition Centre, Mumbai, India. The owner of ITB India event is Messe Berlin GmbH.

 

2. Admission Policies

2.1. Official Opening Hours

  • Duration of ITB India 2020: 15 April, Wednesday - 17 April, Friday
  • Daily opening hours: 10:00 a.m. – 6:00 p.m.
  • All timing stated are in India Time (UTC/GMT +5:30)

2.2. Attire

All attendees are to be in business attire.

Shorts, Slippers and sandals are strictly not allowed unless part of the traditional attire. Entry will be refused if attendees are found in such attires. Attendees may be escorted out of the Exhibition Halls if found in such attires.

2.3. Exhibitors Passes

Exhibitor passes provide access to the exhibition grounds from 8:00 a.m. - 7:00 p.m. Exhibitors will receive a limited number of special passes valid for the duration of the exhibition or fair, for use by themselves and their employees, and entitling them to admission free of charge. In the case of joint participation by a few exhibitors, only the authorised exhibitor will receive the required passes. Additional passes are available, for which a charge will be made.

2.4. Hosted Buyer

Individuals who are allowed to participate in the Buyer Programme must be travel agents, travel managers, MICE planners and industry professionals who are responsible for making or influencing buying decisions within the global travel market.

Should you cancel your trip to ITB India 2020 on/after 1 February 2020, or fail attend any of the Hosted Buyers Programmes and ITB India 2020's official evening events, or fail to fulfil your required number of scheduled appointments, you will be liable to pay the FULL penalty equivalence of 100% hotel charges and cost of evening functions incurred by the Indo-German Chamber of Commerce, a sum of USD 1,100.00.

By accepting the above terms and conditions, you agree to all relevant data protection legislation under India law to Indo-German Chamber of Commerce, Messe Berlin (Singapore) Pte Ltd and its partners commissioned as part of the Hosted Buyers Programme communicating with you by phone, fax and e-mail. Your personal information (except credit card details) can be used for internal processing and for disclosure to third parties such as exhibitors, hotels and transport providers in connection with your ITB India 2020 attendance as a Hosted Buyer. In addition, we may use your details to invite you to other events organised by Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd or to offer you other relevant products and services supplied by Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd or third parties.

The hotels, transportation companies and other service providers are independent contractors and are not agents or employees of Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd or its affiliates. Therefore Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd and its affiliates shall not be held liable for any act resulting thereof and beyond its direct control, including but not limited to overbooking, cancellation delay and force majeure. Furthermore, the participant shall indemnify Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd and its affiliates of any damage or loss generated or caused by the participant which Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd and its affiliates have to bear in relation to third parties.

These terms and conditions shall be governed by and constructed in accordance with India law.

2.5. Trade Buyer

Individuals who are allowed to participate in the Buyer Programme must be travel agents, travel managers, MICE planners and industry professionals who are responsible for making or influencing buying decisions within the global travel market.

Should you cancel your trip to ITB India 2020 on/after 1 February 2020, or fail attend any of the Trade Buyers Programmes and ITB India 2020's official evening events, or fail to fulfil your required number of scheduled appointments, you will be liable to pay the FULL penalty equivalence of 100% hotel charges and cost of evening functions incurred by Indo-German Chamber of Commerce, a sum of USD 110.00.

By accepting the above terms and conditions, you agree to all relevant data protection legislation under India law to Indo-German Chamber of Commerce, Messe Berlin (Singapore) Pte Ltd and its partners commissioned as part of the Buyers Programme communicating with you by phone, fax and e-mail. Your personal information (except credit card details) can be used for internal processing and for disclosure to third parties such as exhibitors, hotels and transport providers in connection with your ITB India 2020 attendance as a Trade Buyer. In addition, we may use your details to invite you to other events organised by Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd or to offer you other relevant products and services supplied by Indo-German Chamber of Commerce and Messe Berlin (Singapore) Pte Ltd or third parties.

These terms and conditions shall be governed by and constructed in accordance with India law.

2.6. Regulations Applying to all Types of Passes

Passes are issued in the holder’s name or must be filled in correctly by the holder, who should also sign them. In cases of misuse, the passes will be withdrawn without compensation.

All payments and registrations are non-refundable and non-transferrable. In the case of an event cancellation, please refer to 8. Force Majeure.
Emails will remain as the main mode of communication with all attendees hence it is the responsibility of all attendees to ensure that they enter a valid email and ensure that the email domains used by ITB India to reach them (such as itb-india.com) are not marked as junk.
All liabilities incurred by attendees in relevance to being unreachable due to the above reasons will not be held responsible by ITB India. This shall remain applicable to all attendee and pass types.

Entry will be refused if tickets are not purchased from authorised channels i.e. ITB India’s Official website.

Attendees found not abiding to any of the regulations stated within this General Terms and Conditions will be rejected entry, requested to return their badges and/or have their badges blocked depending on the severity of the offence. Organisers, staffs and security personnel appointed by IGCC and Messe Berlin (Singapore) Pte Ltd reserve the rights to verify all attendees prior to admission, refuse entry, nullify and/or confiscate badges without being required to give reasons. The house regulations of the venue will apply together with the Organiser's general terms of business. Attendees found not abiding to any regulations, will be requested to exit the hall and/or return their badges.

2.7. Security

For security and safety reasons, the exhibition is open to trade and business visitors only. General public and minors below the age of 18 will not be allowed admission.

The Organiser, staffs and security personnel appointed by IGCC and Messe Berlin (Singapore) Pte Ltd reserve the rights to verify identities prior to admission, refuse entry, nullify and/or confiscate badges should there be a discrepancy with our records and if any attendee refuses to adhere to the admission protocol. The attendee expressly agrees to the Data Privacy Policy (Point 7.). The house regulations of the venue will apply together with the Organiser's general terms of business. Attendees found not abiding to any regulations, will be requested to exit the hall and/or return their badges.

 

3.   Regulations Governing Halls and Indoor Places

3.1. Advertising

Advertising of all kinds is permitted but only within the stand hired by the exhibitor, on behalf of the exhibitor’s own company, and only for exhibits manufactured or distributed by the exhibiting firm.

Events at the stand must be registered using the appropriate form in the Exhibitor Service Manual. According to the size of the event, the exhibitor may be charged extra costs for additional security personnel (compulsory) and additional services, e.g. barriers, personnel for providing sanitary fittings, checkroom, sanitary services, etc. Events can take place at the stand from 10:00 a.m. - 6:00 p.m.

Advertising by means of loudspeakers, the display of slides or films, or the inclusion of performances or shows require the written approval of IGCC and Messe Berlin (Singapore) Pte Ltd. Written approval must also be obtained for the use of other equipment and installations intended to enhance the impact of advertising either optically or acoustically.

Advertising of a political nature is strictly prohibited. No information material of a political nature may be distributed in the form of posters, information material etc

3.2. Noise Levels

Noise levels during the trade show may not be so loud as to disturb other exhibitors. In order that exhibitors can conduct meetings and appointments undisturbed, the voice level resulting from presentations on the stand must remain below 50 decibels.

3.3. Removal, Exchange of Exhibits

Only the agreed exhibits may be displayed. Furthermore, they may only be removed subject to the approval of IGCC and Messe Berlin (Singapore) Pte Ltd. Exhibits may only be replaced by other items if a written agreement has been obtained from IGCC and Messe Berlin (Singapore) Pte Ltd, and replacement must take place at least one hour before the official daily opening time, or one hour after the official closing time.

3.4. Exclusions

IGCC and Messe Berlin (Singapore) Pte Ltd is entitled to demand that exhibits should be removed if these were not included in any prior agreement, or if they subsequently prove to cause annoyance or danger, or are incompatible with the objectives of the event. In the event of noncompliance, IGCC and Messe Berlin (Singapore) Pte Ltd is entitled to have recourse to law in removing the exhibits at the exhibitor’s expense.

3.5. Direct Sales

ITB India is a strictly no-selling event unless expressly permitted, no items (food, drinks, typical souvenir) may be sold directly.

If such approval is given the exhibits must be marked with clearly legible price tickets. It is the attendees’ responsibility to observe these regulations.

3.6. Trolleys

Trolleys are not permitted within the show during the Official Opening Hours.

3.7. Animals

No animals are admitted to the exhibition grounds.

All attendees must comply with IGCC, Messe Berlin (Singapore) Pte Ltd and Bombay Exhibition Centre's Rules & Regulations, technical guidelines including operation, fire safety, construction. For further details on the Rules & Regulations please refer to the Exhibitor Service Manual. Exhibitors must also comply with rules and regulations as specified by work and safety laws of India.

 

4. Official Approval, Legal Regulations, Technical Guidelines

In all cases, it is the responsibility of the attendees to obtain official approval.

Exhibitors are responsible for ensuring compliance with applicable regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements. Moreover, exhibitors must observe the “Technical Guidelines” as specified in the Exhibitor Service Manual, in particular with regard to the regulations contained therein relating to stand construction and design, and the extensive safety regulations also specified in this folder.

Protection of Copyrights and Patents

It is the responsibility of all attendees to ensure that copyrights and other laws governing industrial patents in India are complied with.

 

5. Regulations for the Maintenance of Order

5.1. Parking Spaces

The parking spaces offered by Bombay Exhibition Centre, Mumbai are available to exhibitors and need to be paid individually. IGCC and Messe Berlin (Singapore) Pte Ltd are not responsible for any vehicle parked in all parking facilities provided by Bombay Exhibition Centre.

5.2. Access to the Exhibition Grounds

Vehicles which do not have the correct authorisation or a document entitling them to park within the Exhibition Grounds will not be allowed access to the grounds during the event. Regulations pertaining to the delivery of goods and other items are covered by the conditions of participation.

5.3. Leaving the Grounds

Exhibitors and accompanying persons must leave the halls within one hour following the official closing time each day.

All Visitors are to leave the halls by 6p.m., following the official closing time each day.

Any persons wishing to leave the exhibition with packages must furnish proof that they are entitled to do so to the security staff at the exits.

5.4. Miscellaneous

No animals are permitted on the Exhibition Grounds. Water required for use in connection with foodstuffs or for the cleaning of utensils coming into immediate contact with foodstuffs may only be obtained from taps supplying hygienic water. Water for such purposes may not be obtained from toilet facilities.

5.5. Environmental Protection

Exhibitors are required to make every effort to protect the environment. In this respect, they should also observe the Environmental Guidelines of IGCC and Messe Berlin (Singapore) Pte Ltd which are enclosed with the Exhibitor Service Manual.

 

6. Photography

The taking of photographs, films or videos on behalf of exhibitors during the daily opening hours of the event may only be carried out by photographers, film or video production companies authorised by IGCC and Messe Berlin (Singapore) Pte Ltd and in possession of the appropriate pass.

Such authorisation also applies prior to and after the daily opening hours of the event. No other photographers or production companies will be permitted access to the Exhibition Grounds. Information on this matter can be obtained from the IGCC and Messe Berlin (Singapore) Pte Ltd.

IGCC and Messe Berlin (Singapore) Pte Ltd is entitled to take photographs, make drawings, or to make films or video recordings of events taking place at the fair, of structures and stands, or of exhibits, and to use these for advertising purposes or for publication in the media. No objections for whatever reason by exhibitors will be entertained. This also applies to photographs or recordings made directly by the press or television with the approval of IGCC and Messe Berlin (Singapore) Pte Ltd.

 

7. Data Privacy Policy

Consent to the use of data: The attendee and anyone with whom are involved in business consents that the Indo-German Chamber of Commerce & Messe Berlin (Singapore) Pte. Ltd. may use/transfer of his/her Personal data, i.e. his name and contact information to third parties, if applicable, by the service partners of IGCC and Messe Berlin (Singapore) Pte Ltd in accordance to the provisions of the Information and Technology Act, 2000 and other relevant data protection regulations in India for the below purposes:
  1. The participation of the company/entity at ITB India and/or
  2. Optimizing and providing support for customers and potential customers and/or
  3. For handling the services offered and/or
  4. Offering specialized services for preparing and implementing presentations at the fair such as logistics services, PR services, ITB India catalogue/ Quickfinder, ITB India App, Match Making Tool and ITB India News.

Personal data about the residents of the European Union (‘EU’) with whom IGCC and Messe Berlin (Singapore) Pte Ltd is involved in the business will be stored, collected, processed and used by IGCC and Messe Berlin (Singapore) Pte Ltd, and if applicable, by its service partners in accordance with the provisions of EU General Data Protection Regulations for the above purposes.

The presently known recipients are NESCO Ltd (Bombay Exhibition Centre), Meroform (India) Pvt. Ltd., Schenker Singapore (Pte) Ltd, Aventri, Focusinc International Corporation and Acedaytons Direct Int'l Pte Ltd.

The consent to the use of personal data and e-mail address obtained as part of the registration process may be withdrawn by the attendee by notifying IGCC and Messe Berlin (Singapore) Pte Ltd or sending an e-mail to data-protection@messe-berlin.asia with effect for the future.

 

8. Force Majeure

8.1. Cancellation of the Event

If IGCC and Messe Berlin (Singapore) Pte Ltd is prevented from holding the event for reasons outside its own control or that of the attendee, all claims to the stand rental, registration fees and ticket purchase become void. 

8.2. Rescheduling of the Event

If IGCC and Messe Berlin (Singapore) Pte Ltd is in a position to hold the event at a later date it must notify all attendees immediately. Attendees are entitled to cancel their participation in the event if it is rescheduled, provided such cancellation is given within one week following receipt of this notification, after which claims for refund will no longer apply.

8.3. For Events that have Already Commenced

If IGCC and Messe Berlin (Singapore) Pte Ltd is obliged to shorten or cancel an event that has already begun, as a result of force majeure, exhibitors are not entitled to assert claims for repayment or for exemption from the stand rental charge.
